SSMU Interim Status Application Form

Before applying for interim status, please look over the clubs application handbook to ensure that you properly address the application questions. Additionally, please look over the interim status rubric to familiarize yourself with what an excellent response requires before submitting.

Please note that the review of your application should take about 3 weeks.

The deadline for this application is March 31st, 2025. No applications will be reviewed during the Winter Holiday Break or Winter Reading Week and applications submitted right before, or during, holidays or breaks will be reviewed after the break.

The alternative club name will be used if McGill does not authorize the use of the McGill™ name. Please do not include "McGill" unless it is in the form: "McGill Students" per our MOA

Cover Letter

Please submit a cover letter below with an explanation of the goals, mandate, and operations of your club, as well as how your club will benefit students. The cover letter you write below, along with the rest of your application, will be assessed based on the Interim Status Approval Rubric. Please review this rubric and ensure that your cover letter addresses all of the criteria that the Club Committee considers.

The submission of a proposed annual budget is required. It is mandatory that your budget is formatted with Microsoft Excel or an equivalent spreadsheet program (.xlsx). Please see a sample budget for your reference here.

Club Constitution

A Club Constitution is the binding governing document for all SSMU Clubs and outlines your club's mandate as well as the internal operations of the club, including the breakdown of the executive team, your membership fee (if applicable), and the procedure by which executives are elected. Please download the Club Constitution Template and upload your proposed constitution based on the template in the field below. Make sure you maintain the original colours of the consitution and follow the instructions in the beginning of the document.

Member List

In order to be considered for Interim Status, your club must have at least 10 undergraduate or graduate students sign up as potential members should the club be approved. Please upload a list of the names, emails, and student numbers of your signatories in the field below using the template membership list.

Affiliation

Affiliation If your club is a chapter of a larger organization or otherwise is affiliated with a non-SSMU group, that group must write an Affiliation Letter to be included with your application. Affiliation should include details about the relationship between your club and their organization, including any potential funding, other support, information you are required to submit to their organization, etc. Please provide as many details as possible on how your club will interact with their organization! If your club is affiliated with another group, ensure that this is reflected in Article 10 of your proposed constitution!

SSMU Email Address and Web Space

Both Interim and Full Status SSMU clubs can request an @ssmu.ca email address (Gmail) along with a hosted Wordpress site on the SSMU clubs server. Please indicate if you would like either or both.
Please provide your desired URL for SSMU webspace.
